How Do You Ensure Your Emails Are Delivered Properly?

Communication is one of the most critical factors for every company. You need to be in close contact with your customers and suppliers, and colleagues must be able to communicate with each other.

Imagine you had to do this all without email -- mission impossible! You rely on a highly performant email system for daily business communication. In addition, critical IT processes such as your backup solutions report their status by email, and your network monitoring solution uses email to alert you to potential issues in your IT infrastructure.

Both internal and external communication and thus your company's workflow would be seriously affected if there were any issues with the email delivery process. PRTG Network Monitor provides various options to monitor your company's email servers and helps maintain your business communication.

Monitor Your Exchange Servers

For example, you can keep a close eye on your Microsoft Exchange servers with several out-of-the-box PRTG sensors such as the WMI Exchange Server sensor. Add specific sensors to your installation for detailed monitoring of Exchange mailboxes, databases (including DAG), public folders, mail queues, and backups to be confident that your email server is working correctly. 

 

Monitor the Email Delivery Process

Additional email server monitoring sensors that are included with PRTG are the email round trip sensors for SMTP and POP3 or IMAP. These sensor types ensure the proper end-to-end delivery of emails and make it possible to monitor availability and performance of a complete email delivery process. To do this, PRTG sends a test email to a dedicated mail server, retrieves it, then measures the time it takes for the round trip. For technical details about these sensors, please see our manual.

The round trip function lets you test multiple aspects of your email server setup. As long as your particular sensor is green (up), you know that your email server accepts emails via SMTP, that you can send emails to external destinations, that you can receive emails from external sources with your mail system, and that emails can be retrieved via POP3 or IMAP. In addition, you can define an customized maximum round trip time you are willing to accept. If this time is exceeded, PRTG will alert you immediately so that you know that your email process is too slow or even interrupted. In this case, you can quickly determine the cause of the problem using your other PRTG sensors.
